Whitianga Motel Policies

  • Extra adults and children are charged an extra $30-00 each per night within the rooms specified capacity.
  • Infants, (definition, crawling and or walking under 2 yrs old) are an extra $30-00 per night within the units specified capacity.
  • Babies , (definition, non crawling non walking) free if own bedding supplied and at sole discretion of management. Our supplied cot $30-00 for total stay nights.
  • Bookings for 3 or more units are considered a group booking and different policies may apply. Group bookings can only be confirmed via email to management, not by direct booking engines or Online Travel Agents (OTAs).
  • Payment is required upon arrival if not already done so.
  • Prices may be subject to change. All quoted rates are valid at writing but management reserves the right to change quoted rates with confirmation due to any major unforeseen / extreme economic factors or any increase in any government tax, surcharges, levies etc. The guest would have the option to cancel their booking free of charges if this was to occur.
  • Management reserves the right to shift or move guests around to the same type or another type of unit, at the same price, to accommodate present / long stay / future bookings. Particularly relevant with group / tour bookings and one night stays during peak, special events and public holiday periods.
  • Minimum nights stay may apply during peak, special events, public holidays or long weekends please enquire when making a booking.
  • Cancellation due to or for inclement weather is not accepted.
  • Please sleep between the sheets provided as the room rate covers this daily laundry cost. If you sleep directly under the bedspread / duvee or on top of the blanket the extra full laundry cost of $40-00 or more to launder them will be charged to your account so as the next guest can sleep in a clean healthy environment.
  • Any damage or theft from a unit or the motel property will be charged to those concerned, including all charges for the recovery of costs including any resultant loss of income if applicable.
  • Smoking / Vaping is prohibited in all of our units. Cleaning and unit unavailability costs will be incurred by those that do.
  • No visitors are allowed in the units or on site after 10pm unless other arrangements have been made. This is at the managements sole discretion.
  • Unfortunately no animals / pets are permitted on the motels premises.
  • Absolutely no parties are to be held in the units at any time.
  • We do not accept guests who wish to stay for stag or hen party events or functions. We do not accept patched gang affiliations / jackets on site. Sports teams only on prior arrangement if at all.
  • Any noise, disturbances, raucous behaviour that may affect other guests sleep and well-being between units will not be tolerated and your consideration to this issue would be appreciated.
  • Units are to be left in a clean and tidy state, no damage, no theft, or extra charges will apply, including any recovery / legal costs.
  • Shoes / boots are to be removed at the unit door entrance.
  • Charging of electric vehicles is unavailable. Any concerns please contact management.

Booking Confirmation

  • Reservations will only be confirmed by supplying valid credit card details or sending a deposit.
  • The validity of credit cards supplied will be checked and if found invalid at any time up to and including the guests stay the booking may be cancelled without notification. This does not limit the rights of management from enforcing or collecting any outstanding charges liable by the guest with reference to the cancellation policies.
  • Your supplied credit card may be drawn on or a pre-authorisation placed on the supplied credit card as the deposit for the total stay amount as set out in either of the 2 cancellation policies stated below. Note, Group booking cancellation and payment differ from both cancellation policies below.
  • If you require other booking or payment conditions please do not hesitate to email or call to help find a solution.
  • The supplied credit card may be pre-authorised or be drawn on when the cancellation period comes into force if not already drawn on, this is particularly relevant in the 30 day non cancellation period regardless of stated No Deposit terms at time of booking.
  • Debit cards will normally be drawn on for the total amount of stay.
  • If paying by other means an advance payment of first night's stay may be required.
  • Unfortunately Payment by cheque is not accepted.

Cancellation Policy, Standard Policy / Non Peak Times

  • The supplied credit card may be pre-authorised or be drawn on when the cancellation period comes into force if not already drawn on, this is particularly relevant in the 30 day non cancellation period regardless of stated No Deposit terms at time of booking.
  • A confirmed booking, if cancelled outside the cancellation period of 48 hours, will only incur credit card fees / charges or costs in relation to that booking that the accommodation provider has incurred, if any at all.
  • Less than 48 hours notice, or a no show, will incur a 100% charge of total cost of first nights accommodation. The unit will then be available for relet by management when and if this policy is enforced.
  • Management reserves the right to debit the guest the night's accommodation left vacant by their early departure.
  • It is at management's sole discretion to change, waive, or drop, any charges occurring from the above cancellation policy. Any variation to cancellation policies will be taken on its merit and reasons supplied. Please do not hesitate to inquire if you have any issues on our policies.
  • Please ensure you are well aware of the possible ramifications of each cancellation policy at time of booking.
  • Group bookings/cancellation policies/deposits/confirmations, differ from those above. Please check when organizing.

Cancellation Policy, Peak Seasons / High Demand

  • The supplied credit card may be pre-authorised or be drawn on when the cancellation period comes into force if not already drawn on, this is particularly relevant in this 30 day non cancellation period regardless of stated No Deposit terms at time of booking.
  • These policies are particularly relevant and will be enforced during the peak season 20 December through to the 28 January, 3 days either side of and including NZ Statutory and public holidays, long weekends of more than 2 days and special events. Management reserves the right to determine what is a special event. Please ask if you are not sure when making a booking.
  • The confirmation deposit of the first nights stay is non refundable unless other arrangements have been made.
  • If the booking is made within the 30 day cancellation period the full amount will be debited upon confirmation and is non refundable.
  • Less than 30 days notice, or a no show, will incur a 100% charge of total cost for every room nights accommodation booked. The unit will then be available for relet by management when and if this policy is enforced.
  • When a unit has been confirmed and a guest shortens their stay, management reserves the right to cancel the entire booking.
  • Management reserves the right to debit the guest the night's accommodation left vacant by their early departure.
  • It is at management's sole discretion to change, waive, or drop, any charges occurring from the above cancellation policy. Any variation to cancellation policies will be taken on its merit and reasons supplied. Please do not hesitate to inquire if you have any issues on our policies.
  • Please ensure you are well aware of the possible ramifications of each cancellation policy at time of booking.
  • Group bookings/cancellation policies/deposits/confirmations, differ from those above. Please check when organizing.
  • Travel Insurance is highly recommended over this cancellation policy period.

Group Bookings / Cancellation policy

  • Bookings of 3 units or more are considered a group booking and different policies may apply. Group bookings can only be confirmed via email to management, not by direct booking engines or online travel agents (OTAs).
  • The confirmation deposit of the first nights stay is non refundable unless other arrangements have been made.
  • 8 weeks notice is required for group booking cancellations unless other time frames have been arranged.
  • Less than 8 weeks notice, or a no show, will incur a 100% charge of total cost for every room nights accommodation booked. The unit will then be available for relet by management when and if this policy is enforced.
  • Full payment of the tour / group is required at or before the 8 week non cancellation period and before check in unless other arrangements have been made.
  • Changes to number of rooms required and number of guests at managements discretion once rooms have been confirmed.
  • Management reserves the right to shift or move guests around to the same type or another type of unit, at the same price, to accommodate present / long stay / future bookings. Particularly relevant with group / tour bookings and one night stays during peak, special events and public holiday periods.
  • People booking rooms individually as part of a group to get around this group booking cancellation policy clause will not be accepted unless a fully non refundable room rate is paid in full at confirmation.
  • It is at management's sole discretion to change, waive, or drop, any charges occurring from the above cancellation policy. Any variation to cancellation policies will be taken on its merit and reasons supplied. Please do not hesitate to inquire if you have any issues on these policies.
  • Please ensure you are well aware of the ramifications when booking multiple units and or group tours.
  • We recommend groups travel with travel insurance.

Food Cooking / Odours

  • In order to avoid residual lingering food odours that may be offensive to subsequent guests, cooking of odoriferous pungent foods such as shellfish, strong curries and spices are not permitted in any of our units. Common sense required and if you are still not sure please confirm with management. Management reserves the right to charge the guest a minimum of one night's accommodation for extra cleaning and loss of revenue if the unit is tainted by food odours.
  • ABSOLUTELY NO GAS COOKERS, BURNERS, are allowed in any of the units at any time to cook / heat food.
  • A portable BBQ is available, on request, at no extra cost for cooking outdoors.

Smoking / Vaping

  • Smoking / Vaping is NOT PERMITTED in the units. Smoking / Vaping is permitted outside the units only, away from open doors and windows. Management reserves the right to charge the guest a minimum of one night's accommodation for extra cleaning costs, loss of revenue or the unit not being able to be relet, if the unit is tainted by smoke residue, vaping residue no matter how minor. All recoverable cost will be charged to the guests credit card or invoiced if no card present.
  • Please consider and respect other guests rights to a safe and healthy environment.

Check-in

  • After 2pm on day of arrival or sooner if room is ready and available, management discretion.

Check-out

  • No later than 10am unless prior arrangement and availability allows a later check-out. Charges may apply.
